Job Description:

Reporting to the People Manager- Operations this role is accountable for providing exceptional first line administrative support to the Operational People team and L&D function. This role is also responsible for the administration associated with our HRIS system; Workday.

As a People Apprentice you will gain valuable experience supporting HR Administration duties. This is a diverse and exciting position which provides the opportunity to develop knowledge and skills whilst working towards your professional CIPD Level 3 apprenticeship qualification over 16 months.

Recruitment and Selection
People are our biggest asset at WW and making sure we recruit and retain top talent is at the forefront of our decisions.
● You will be responsible for working alongside the People Generalist to support the attraction and recruitment of WW’s Coaches via our HRIS system; Workday.
● You will be responsible for ensuring a people focused candidate experience from application through to offer whilst prompting WW’s Impact Behaviours*
● You will ensure that all necessary employment checks are actioned including DBS checks, right to work, and references.

On-boarding and Induction
● Administer the onboarding process for new employees ensuring contracts and all relevant checks are in place ahead of them starting our New Coach Academy.
● Administer the probation process across all roles operationally ensuring Managers know when review meetings need to take place.

L&D
● Work closely with the L&D team to ensure all training and our New Coach Academy are a success. This will include scheduling training sessions and supporting new employees with booking training via our HRIS System; Workday.
● Support the ongoing evaluation of training using Workday Learning to collate required data.
● As part of your own learning and development you will undertake your CIPD L3 qualification in HR Support. The topics of learning include:
○ Understanding organisations and the role of HR
○ Developing Yourself as an Effective HR Practitioner
○ Resourcing talent
○ Recording, analysing and using HR information
○ Supporting good practice in performance and reward management
○ Supporting good practice in managing employment relationships

Leavers
● Ensure resignations are acknowledged in a timely manner, the People Leader is aware of the process and any outstanding annual leave is correct and up to date in Workday.
● Ensure all employees within the agreed time scale receive information about WW’s Alumni and how to join.
● Support the People Generalist with the Alumni administration Administration & Project Work
● Be the first point of contact for our 1st line People queries via our HR & Benefit Inbox
● Carry out general administration tasks for the People Department
● Respond to reference requests for current or ex-members of staff
● Ensure electronic personnel files are maintained and filing/archiving is completed in a timely manner.
● Maintain an up to date procedures manual for all People administration duties.
● Support the People Generalist and People Manager with the development and implementation of projects as required

General
● To maintain own continuing professional development, keeping up to date with legal requirements and relevant HR developments.
● To maintain appropriate confidentiality of information relating to the Company and its employees and maintain compliance with the GDPR
● To adhere to Company Health, Safety and Environmental Policy at all times.
● Any other duties as required.

Requirements:

● The ideal candidate will have strong interest in developing a career within People/HR.
● Minimum 1 years experience in a similar administrative role desirably within the People &
L&D function.
● Must have English and Maths GCSEs at Grade C (4) or above (or equivalent) and preferably a total of five
● A high degree of discretion and confidentiality is essential
● Considering or working towards CIPD L3 in HR Support
● You will have strong administrative and organisational skills.
● You will be professional with excellent interpersonal and communication skills.
● You will have the ability form effective relationships with people at all levels and to articulate well by both verbal and written communications
● It is essential that you are highly proficient in Microsoft Excel, Word, Outlook and PowerPoint. Proficiency in Google applications would be advantageous.
● Experience of using HRIS systems; Workday would be an advantage
● You will be a self-starter, who is proactive at all times and able to work on own initiative with minimal supervision.
● You are able to think of creative solutions to problems. You will thrive in a busy environment which requires you to juggle priorities and will be able to quickly adapt to different situations.
● Occasional UK travel may be required.
