The EMEA HR team are responsible for providing an effective end to end service throughout all stages of the employment life cycle. You will be responsible for providing an efficient HR administrative service to our internal customers, which will include recruitment, induction/on-boarding, probation, benefits and leaver administration. This role reports directly into the HR Manager based in Guildford.
Whilst studying you will become a student member of the CIPD giving you access to essential resources for your study and career success. You’ll work towards a recognised industry qualification, giving you Associate professional membership of the CIPD and finish the programme with everything you need to take your next step as a Human Resources professional.

Duties

Recruitment & Selection

o Advertises approved opportunities using agreed advertising channels; ISG website, Recruitment Agencies, Job Boards etc.
o Monitors recruitment application activity, forwarding CVs to hiring managers for review, chasing for feedback and responding to applicants as necessary
o Arranging interviews, coordinating with hiring managers and confirming arrangements with applicants. Booking meeting rooms and remaining the point of contact for the applicant during this process
o Prepare offer letters and employment contracts for successful candidates. Issue all offer paperwork and keep Hiring Managers and Talent Acquisition Manager updated on progress

New Hires

o Carry out relevant pre-employment checks and chase all outstanding documentation to complete on-boarding process
o Create new starter records in global HR system(s)
o Liaise with other departments including IT, Payroll, Finance to ensure all new starter set-up requirements are met
o Serve as first point of contact for all new hire queries to support an effective onboarding process Security Clearance
o Assist in gaining Security clearance for new employees
o Support in renewals and liaising with third party provider Contractor Administration
o Serve as a support function for all new contractor queries to support an effective on-boarding process

Security Clearance

o Assist in gaining Security clearance for new employees
o Support in renewals and liaising with third party provider

Contractor Administration

o Serve as a support function for all new contractor queries to support an effective on-boarding process
o Help maintain up to date tracker of all Contractor activity to monitor end dates, day rates etc.
o Liaise with Project Owners regarding contractor end dates and prepare extension paperwork where needed. Notify relevant departments/update system(s) where
end dates are confirmed

Leavers

o Acknowledge employee resignations and formalise leaving arrangements. Liaising with People Manager regarding agreed end date, holiday and return of company
property arrangements etc.
o Update system(s) and notify relevant departments of employee leaving arrangements
o Organise or conduct Exit interviews as required

Contractual Administration

o Action any changes to terms and conditions of employment; confirming changes to employees, obtaining employee consent to such changes (chasing where needed)
and updating all necessary system(s)
o Preparing Employee Change Notice (ECN) for Payroll

Compensation & Benefits

o Assist in the annual compensation review process; preparing letters as instructed, ensuring signed letters are returned and updating system(s) as necessary
o Receipt of benefit enrolment forms; filing and forwarding to Payroll and/or benefits providers
o Assist in the Administration of specific sub-regional Compensation Plans on an annual basis

Employee Relations

o First point of contact for all employee queries. Responsible for referring queries to others as appropriate
o Referring employees to OneEx intranet site and directing then to relevant policies and procedures

Performance Management

o Updating Performance Management System (OneReview) with any necessary changes
o Produce regular status reports during annual and mid-year review periods
o Action any agreed promotions according to annual cycle; preparing promotion paperwork and updating system(s), preparing Employee Change Notice (ECN) for
Payroll

HR Metrics & Reporting

o Producing ad-hoc reporting as required by the business
o Maintaining organisation charts for each country
o Creating user accounts in the annual leave booking system, providing regular annual leave reporting, monitoring holiday balances and carry over requirements,
employee follow up as required

Training

o Supports the EMEA in team in ensuring employees complete any mandatory trainings

Health and Safety

o Ensuring workstation assessments are completed
o Maintaining accurate records of routine checks (fire, fire doors, emergency lighting etc)
o Ensuring routine testing as required is completes (fire extinguishers, PAT testing etc)

General
o Actions all employee changes (name changes, address changes etc); requesting supporting documentation when needed, filing/ updating HR system(s) and
preparing Employee Change Notice (ECN) for payroll
o Assisting in ad hoc projects and tasks as required
o Preparing employee references and employment confirmations, obtaining employee consent where needed
o Updating HR intranet page on OneEx and maintaining an up to date HR letter template library
o Arranging employee medical visits according to schedule (France only)
o Maintain HR calendar with upcoming activity
o Gathering information from external sources to support solutions to employee queries
o Collaboratively manage the EMEA HR email address
o Manage office supplies and support in general office duties
o Administer employee recognition and awards as required
